When a Balance is paid, the Notes are still visible on the Resident's page.
- While a balance is on the AR Aging page you can add Notes to the Balance. The Note counters tell you how many Notes are on each balance.
- When a balance is paid (goes to $0.00), then the Balance is no longer visible on the AR Aging page.
- The Notes (that were associated with the Balance) are still visible under Residents > Jon Doe > Activity
- use the Note type dropdown to select which Notes types you want to see (by default all Note types are selected, except Bucket notes)
- Search the Notes to find any text
Viewing Notes from paid balances (on the Residents page) is helpful in these cases:
- The Balance changed payers
- The Balance was under Payer 1, but is now under Payer 2 (perhaps you had the wrong payer). The Notes you took under Payer 1, may help you work the claim under Payer 2.
- Insurance take-backs
- If the insurance pays, and then does a take back, you can see the original Notes and reference numbers to prove what you did, and contest the take-back.
- Audits
- Prove to the insurance company audit what you did on the claim.
- Team accountability
- See how staff are working claims and what was done in the past.
