How Data is Imported into Workflows

Data is pulled from your practice software on a schedule


  • AR Proactive automatically pulls data from your practice software.
  • The data is pulled on a schedule.  The schedule depends on your business need for the data. For example,
    • AR Aging report is pulled every ~1 hour, if your practice software can generate the AR Aging report quickly.  If your practice software takes a long time, then it's scheduled to pull it less frequently.
    • The Census report would be pulled once per day, since there's little business need to have real-time census data.

How is data imported?

  1. The AR Proactive robot logs in to your practice software. 
  2. It runs the required report.
  3. The report is checked by the AR Proactive robot to make sure it has right the contents, like column headers, number of rows, and file size.
  4. If the robot check finds something unusual about the file (for example, it has a large increase in the number of rows), then it is queued for an AR Proactive staff member to review manually, and confirm that the file contents look normal. 
  5. If the report looks normal, it's get queued for import. 
  6. After it's imported to our database, the data is updated in AR Proactive, and Workflows and Tasks are triggered where appropriate. 

What causes data import to be delayed?

Sometimes, your reports may not be imported on schedule. Possible causes include:

  • There are an unusual number of rows in the report, compared with previous successful imports.
  • The file size is usually small or large, indicating that the export from the practice software was not successful.
  • The column headers have changed and so we need to check if it's a permanent change.
  • Your practice software is unable to generate a report due to an issue on their side. Meaning, we can login, but the report is unavailable.  If this is case, we try again on the next scheduled report run. 
  • We are unable to login to your practice software.  If this persists, when we will reach out to you to update our login to your practice software.
