How to clean up old or unused Workflows.
- Delete a Workflow Template when you no longer need it or use it.
- If you simply don't want the Workflow Template to trigger automatically (but you still want to keep it available to trigger manually), then change it's Trigger to "Manual". (Meaning, do not follow the steps below.)
- Login to ARproactive.com > Login > Workflow Automation
- Go to Workflow Templates
- Hover over the Template you wish to delete.
- Click the grey "x" icon to delete the workflow.
- You will be asked to confirm and click Delete
Here's what happens when you delete a Workflow Template:
- This will remove the Template from the system. It will not trigger automatically anymore. It will also not be available to trigger manually on the AR Aging page.
- Any Balances that have this Workflow currently active, will have their Workflow changed to "Needs Workflow". (If this Workflow is attached to Residents, those Workflows will be archived and no longer active.)
- On the next import of data from your practice software, these Balances (with "Needs Workflow") will be assigned a new Workflow if there is an automatic Trigger rule that matches the balance.
- Or, you can go to the AR Aging screen., search for Workflow name "Needs Workflow", and assign a Workflow manually.
- All the Tasks inside this Workflow will be removed from users' Task Inboxes. It will also be removed from Users' Workflows page.
- The Workflow Template named "-- Needs workflow --" is a system generated Workflow.
- The "-- Needs workflow --" Template cannot be deleted.
- It's function is to identify Balances that do not have any other Workflow associated with them. It acts as "catch-all" so that no balance is unlabeled.
- If you want to intentionally ignore a balance (for example, it's just been billed and is too young for follow-up), then use the "Waiting the payment" template. Or create other templates like "No action needed" or "Write-off pending" that has a trigger that matches the criteria of the balances you want to ignore.
